Academic Advising

A university student’s understanding of the rules and regulations governing the educational process within the college is essential for ensuring a smooth academic journey, free of obstacles or complications. Consequently, the role of academic advising is vital in fostering a distinguished relationship between students and faculty members through a system that introduces students to the college and its academic and student regulations, highlighting available fields and opportunities to help them select majors that align with their abilities, aspirations, and interests. It also assists them in making optimal academic progress and overcoming challenges by fully utilizing the services and facilities provided by the college. The College of Science was among the first to recognize the importance of academic advising in developing the educational process, as the Academic Advising Committee is formed at the beginning of each academic year under the supervision of the Vice Dean for Academic Affairs, who, along with the heads of committees and departments, oversees the implementation and follow-up of academic advising programs according to a scientifically structured plan.

The Academic Advising Unit at the College of Science strives to provide guidance services that meet student needs and contribute to developing the skills necessary to achieve their academic goals. Furthermore, it seeks to enhance these services in alignment with international academic advising standards applied in various educational institutions.

Finally, academic advising helps students take responsibility for the teaching and learning process to achieve academic progress, as well as academic and professional success.

How do I register for courses?

Registration is conducted through the Banner system in accordance with the Deanship of Admission and Registration regulations.

What are the registration requirements?

It is mandatory to meet the minimum academic load each semester and fulfill the prerequisites for each course, if any.

What is Denial of Admission and what are its consequences?

At least 75% attendance of the lectures for each course is required; otherwise, the student will be denied from completing the course and will be considered to have failed it.

What is an academic warning, and how does it affect enrollment status?

A student receives an academic warning if their GPA falls below 2 out of 5, and their enrollment is terminated if they receive three consecutive warnings.

Is it permissible to transfer from one department to another?

Transfer from one department to another is permitted, provided that the student has completed 24 credit hours, including general courses, and achieved a GPA of at least 3.25.

What is the role of the academic advisor? Do they explain the courses to me?

Explaining the scientific material is the responsibility of the course instructors, not the advisor. Inquiries can be directed to the advisor in their capacity as a professor within the department, rather than as an academic advisor.

The academic advisor is responsible for guidance, planning, monitoring, and student care. This includes clarifying study plans and graduation requirements, as well as tracking student achievements and the execution of their academic plans (determining academic load, registration, adding, dropping, and withdrawal) by monitoring academic records and discussing them with students. Additionally, the advisor is responsible for addressing students' academic, behavioral, and social issues, as well as any obstacles hindering their educational attainment. They also receive student complaints and attempt to resolve them before escalating to the college administration, while providing support and counsel to underperforming students and nurturing gifted ones.

When, where, and how can I contact the academic advisor?

You can visit the advisor during office hours or by arranging a prior appointment.

The registration, withdrawal, drop, and add periods will be the most important times to meet with the advisor.

Communication can be conducted face-to-face, via office telephone, university email, or as directed by the advisor. Meetings take place either in the advisor’s office or in classrooms for group advising.

How is the Cumulative Grade Point Average (GPA) calculated?

Cumulative GPA = The total points earned in all courses since the beginning of study, divided by the number of credit hours the student has registered for, excluding withdrawals.

Is the cumulative GPA for two or more semesters equal to the average of the periodic (semester) GPAs?

This occurs in only one case: when the number of registered credit hours is the same across all semesters. If the number of hours varies, we must return to the points and hours method.

What do the grades NP and NF mean?

Pass - No Grade (NP) – Fail - No Grade (NF)

These grades do not affect the student's cumulative GPA; however, they are courses that must be passed, and their points are not added to the total. These grades were applied to certain courses during the Corona pandemic to avoid negatively impacting students' GPAs.

Is the professor obligated to inform me of my grades and let me review my answer sheets?

You have the right to know the grades of all semester and final assessments, review your answers, and discuss them with the instructor through direct communication, whether the grade has been officially approved or not.

In the event of a dispute, the academic advisor may be consulted, or a grievance may be submitted to the Vice Dean for Academic Affairs.

Can I discuss a scientific matter with the instructor that contradicts what they are explaining?

لThere are no restrictions or penalties for scientific discussions with faculty members, provided that the discussion remains within the bounds of decorum and proper conduct.

Does the university have the right to penalize a student for a violation that occurred outside the university campus?

If the violation infringes upon the values and ethics recognized in society or the Islamic religion, and if the violation is proven, the university has the right to take appropriate action; because a student outside the university is a representative of their institution, and their behavior directly affects it.
