About the Agency
The origins of the University Agency for Shared Services date back to 1422H, when an office was established to oversee administrative and financial affairs in response to the expansion at that time. The office contributed to introducing administrative and financial systems that improved workflow and enhanced efficiency.
Today, the Agency is responsible for overseeing administrative, financial, and technical operations, and for coordinating with various university units to ensure operational efficiency and service quality. Its responsibilities include planning, budgeting, and monitoring execution, as well as developing areas such as construction projects, maintenance, general services, and safety and security. These are governed by policies that uphold principles of governance and sustainability, in support of the university’s strategic objectives.

Roles and Responsibilities
The University Agency for Shared Services contributes to creating an integrated university environment by delivering high-quality administrative, financial, and technical services, enhancing operational efficiency and supporting the educational experience.
General Objective:
To support the University President in overseeing administrative, financial, and technical operations, preparing the annual general budget, and developing university projects in a manner that ensures the achievement of the university’s vision, mission, and strategic objectives.

Develop plans for the Agency’s activities and follow up on their implementation after approval.

Oversee the preparation of plans and programmes for the administrative units affiliated with the Agency and monitor their execution.

Ensure the implementation of approved regulations, policies, and procedures in projects, maintenance, and administrative and financial affairs.

Supervise administrative units related to the Agency’s functions and responsibilities.

Coordinate among affiliated administrative units to ensure integration and optimal utilisation of available resources.

Coordinate with other university agencies on administrative, financial, and technical support services.

Participate in committees related to the Agency’s activities.

Implement the university’s general policies and execute decisions issued by the University Council.

Oversee the preparation of the annual budget project, annual report, and final financial statements of organisational units, and submit them to the University President.

Represent the university externally and sign agreements and contracts on its behalf, as approved by the University Council, and follow up on their execution.

Prepare quarterly reports on the university’s activities—particularly financial, technical, and service aspects—and submit recommendations to the University President.

Evaluate the performance of employees affiliated with the Agency administratively, technically, and academically, based on defined plans and objectives, with semi-annual follow-up.

Identify the Agency’s needs for workforce, equipment, and materials, and ensure their provision.

Determine training needs for Agency staff and coordinate with the relevant deanship to nominate them for suitable training programmes.

Prepare periodic reports on the Agency’s activities, achievements, and development proposals, and submit them to the University President.
