About the University Council Secretariat

The University Council meets once every month under the chair of His Excellency the Minister of Education and in the presence of the Secretary-General of the Council of Universities Affairs. His Excellency the University President serves as Vice-Chairman, while the Council appoints one of the Council members as Secretary of the University Council upon nomination. The Council comprises the University Vice Presidents, college deans, and deans of supporting deanships.

General Objective

Overseeing the administrative and organizational activities of the University Council and the related facilitation, support, and assistance functions, in accordance with relevant regulations and instructions issued by the University High administration.

Responsibilities

  1. Providing administrative supervision of the work of the University Council Secretariat and its staff, distributing responsibilities among them, and proposing methods and measures that contribute to enhancing the effectiveness of the Secretariat’s operations.
  2. Scheduling University Council meetings for each academic year in coordination with the Secretary-General of the Council of Universities Affairs.
  3. Following up on the preparatory and procedural arrangements for convening University Council meetings.
  4. Inviting University Council members and notifying the relevant entities of meeting dates.
  5. Receiving topics to be presented to the University Council, ensuring completion of the required regulatory procedures, and preparing the relevant memoranda after coordination with the concerned entities.
  6. Preparing and reproducing memoranda to be presented to the University Council after ensuring that they meet the required regulatory format and submitting them to the authorized official.
  7. Preparing meeting minutes and executive correspondence relating to resolutions issued by the University Council.
  8. Following up on copies of meeting minutes and executive correspondence relating to resolutions issued by the University Council.
  9. Preparing an annual statement of the number of meetings held by the University Council to complete the necessary regulatory procedures for disbursing the reward due to each member.
  10. Providing the Office of the University President, University Vice Presidents, deans, and the Legal Administration with University Council meeting minutes upon request.
  11. Preparing draft resolutions of His Excellency the University President concerning certain transactions delegated by the University Council.
  12. Archiving the authorizations of the University President together with the complete transaction records and retaining them for future reference when needed.
  13. Maintaining the minutes of meetings and memoranda related to the University Council.
  14. Approving emergency and regular leave for staff of the General Secretariat Office and notifying the Personnel Affairs Administration to issue the necessary decisions.
  15. Reporting the attendance of General Secretariat Office members and providing the Follow-up Administration with a copy thereof, as well as notifying it of cases of delay, absence, and leaving work so that the necessary action may be taken in accordance with applicable regulations.
  16. Approving the performance evaluations of Secretariat staff.
  17. Preparing an annual report on the achievements of the General Secretariat Office and submitting it to the University President.
  18. Communicating directly with relevant entities within the scope of its responsibilities, while observing the appropriate administrative level.
