- King Faisal University receives beneficiary participations across its official electronic channels and treats all views, suggestions, and feedback as essential inputs for continuous improvement and user experience enhancement.

- The University is committed to offering accessible e-participation channels to all beneficiary categories, including male and female students, applicants, graduates, faculty members, employees, researchers, visitors, partners, and community members utilizing University services and initiatives.

- E-participation channels are designated for receiving insights and suggestions related to digital and academic services, e-consultations, opinion polls, satisfaction surveys, co-creation, and user experience feedback.

- The participation must be directly related to the topic, service, initiative, or field at hand. They should be clear and specific to assist the University in effectively analyzing and utilizing them.

- The University reviews received participations objectively and professionally, evaluating their relevance, frequency, expected impact, feasibility, and alignment with regulations, policies, and operational or technical capabilities.

- The University is committed to protecting participants’ data and will not disclose any personal data or sensitive information in public reports or published outcomes. Such data will be used solely for analysis, improvement, and beneficiary experience measurement.

- The University reserves the right to withhold or disregard participations containing offensive language, content violating public decorum, personal or institutional abuse, false information, harmful links, or material violating approved regulations and policies.

- E-participation channels must not be used for commercial, promotional, or personal purposes, or any intent unrelated to the presented topic or service.

- E-participation serves as a supportive tool for development and experience measurement. It does not replace official channels designated for formal grievances, appeals, or official requests governed by University regulations.

- The University screens, classifies, analyzes, and forwards participations to appropriate internal departments to evaluate feedback and translate suitable ideas into recommendations, operational procedures, or improvement decisions.

- Participations may result in immediate improvements, inclusion in future development plans, further study, or a clarification of non-feasibility if regulatory, technical, or operational constraints exist.

- The University strives to publish engagement outcomes or achieved impacts when appropriate via the e-participation page, periodic reports, official news, or relevant service pages, without disclosing any personal data.

- The University aims to respond to beneficiary participations within reasonable timeframes suited to the channel, contribution type, and complexity level. Acknowledgment of receipt is provided whenever supported by the platform used.

- The university internal service owners are required to review relevant contributions, determine action items, document decisions and recommendations, and track the impact of resulting improvements.

King Faisal University KFU is committed to providing official, secure digital channels for e-participation; presenting topics relevant to its services; clarifying engagement goals, scope, timelines, and target groups; protecting participant privacy and data; and embedding transparency and beneficiary-centricity across all engagement stages.

Deanship of E-Learning and Information Technology It manages and supports the technical infrastructure and platforms associated with e-participation, ensuring platform availability and business continuity. It also provides necessary technical support, assists in data and indicator extraction, and implements technical enhancements within its scope.

Digital Transformation and Enterprise Architecture Unit It aligns e-participation initiatives with strategic digital transformation goals, connecting outcomes to improvement initiatives and compliance measurements. The Beneficiary Experience Unit coordinates engagement opportunities, analyzes the voice of the beneficiary, prepares periodic reports, and monitors the real-world impact of implemented improvements.

Services Owners They are responsible for evaluating participations related to their respective services, defining appropriate measures, documenting decisions, and providing required data to the supervising entity for results publication and impact measurement. Additionally, the General Administration of Relations and Media supports the promotion of participation opportunities, raises awareness of them, and publishes their outcomes once approved, in accordance with the University’s institutional identity.

Participants Participants using e-participation channels act as active partners in developing the beneficiary experience at King Faisal University. Their insights and suggestions drive the University's efforts to enhance digital and academic services and elevate institutional performance.

King Faisal University views e-participations as a vital source of growth and decision-making support built on active partnership. Receiving or studying a submission does not obligate the University to adopt or implement it unless formally approved through official channels and aligned with institutional policies, regulations, and priorities.
