Regulations Governing the Preparatory Year Program

The preparatory year program is applied to all male and female students admitted to colleges participating in the preparatory year program.

Duration of study

Study in the preparatory year program consists of four academic quarters. An additional opportunity may be granted to a student who fails one of the courses. So that the duration of study in the program does not exceed (five quarters), in the following colleges (College of Computer Science and Information Technology, College of Business Administration, College of Engineering, College of Science, and College of Veterinary Medicine), and the Preparatory Year General Administration has the right to offer the fifth quarter during the summer semester.

Passing the program

  • To successfully complete the preparatory year program, a student must meet the following requirements:
    A - Students initially admitted to the following colleges: Medicine, Clinical Pharmacy, Dentistry, must successfully complete all courses in the college's study plan during the preparatory year and achieve a cumulative GPA of 3.5 or higher out of 5.0 by the end of the program.
    B - Students initially admitted to the following colleges: Engineering, Computer Science and Information Technology, Applied Medical Sciences, and Business Administration, must successfully complete all courses in the college's study plan during the preparatory year and achieve a cumulative GPA of 3.0 or higher out of 5.0 by the end of the program.
    C- Students initially admitted to the following colleges: Science, Veterinary Medicine, must successfully complete all courses in the college's study plan during the preparatory year and achieve a cumulative GPA of 2.75 or higher out of 5.0 by the end of the program.
    D- If a student does not successfully complete the preparatory year program within the timeframe specified in Article 1 of these regulations, the Deanship of Admission and Registration will assign the student to a college where they can enroll to pursue a bachelor's degree or a diploma program, in accordance with the university's admission standards, at the beginning of the next academic year.
  • If a student admitted to the program fails any course, they may retake the failed course while simultaneously enrolling in courses for the next academic quarter, provided that their total contact hours do not exceed the maximum academic load of 32 contact hours.
  • The cumulative average earned by the student during the preparatory year will not be included in the cumulative GPA for the bachelor’s degree.
  • Students enrolled in the preparatory year program may apply to the Deanship of Admission and Registration for the passing track, following the established procedures, to complete the preparatory year program without taking the courses specified in Article One.
  • To apply for the passing track, students must meet the following criteria:
    A. Achieve a score of 6 or higher on the IELTS Academic test, with a minimum score of 5.5 in each skill, ensuring that the certificate is no more than one year old at the time of applying for university admission, or pass the corresponding English language course (4) as determined by the General Administration.
    B. Successfully pass all electronic and written tests specified by the General Administration of the Preparatory Year, obtaining a score of 85 or higher, as outlined in Table No. (1) Below, in accordance with the regulations and procedures set by the Genaral Administration for conducting these tests:

Academic grades

Grades in each course are calculated according to the study and exam regulations as follows:

Attendance, postponement, and withdrawal

  • The preparatory year student is required to be dedicated to studying and must regularly attend lectures and practical lessons.
  • Students are fully responsible for tracking their attendance and any warnings received in each course, either through the course instructor or via electronic notifications from the attendance system of the General Administration of the Preparatory Year.
  • Absence excuses must be submitted electronically through the attendance system on the General Administration portal within one week of the absence.
  • A student admitted into the preparatory year program is allowed to postpone or withdraw for a maximum of one academic quarter during the study period. Under conditions of extreme necessity, Applications must be submitted electronically through the University's Banner system. For postponement requests, submissions should be made before the start of the quarter. For withdrawal requests, submissions must be made before the end of the fourth week from the beginning of classes in the academic quarter, and with an excuse accepted by the General Administration. Paragraph (18) of the executive rules of Article Fourteen of the Study Regulations regarding examinations and postponement of study does not apply to female students of the Preparatory Year and is committed to the period mentioned at the beginning of this article.
  • The period of postponement or withdrawal will count towards the total duration required to complete the program.
  • A student admitted into the program may withdraw from any course in the Preparatory Year Program with an acceptable excuse, provided that their remaining contact hours do not fall below the minimum academic load of 4 contact hours. Withdrawal requests must be submitted electronically through the General Administration portal before the end of the fourth week of the quarter.
  • The student is considered to have dropped out of the preparatory year program. If he does not resume studying after the postponement or withdrawal period referred to in Article (4-4) or if he fail to register for courses in the university’s approved registration system (Banner) during the designated registration period.
  • If a student stops studying for one academic quarter, his enrollment in the program will be canceled, and he will not be permitted to re-enroll.

Academic warning

  • The student will be issued an academic warning if his cumulative GPA falls below (3.00 out of 5.00); For students initially admitted into the following colleges: Computer Science and Information Technology, Business Administration, Engineering, Medicine, Clinical Pharmacy, Dentistry, and Applied Medical Sciences.
  • The student will be issued an academic warning if his cumulative GPA drops below (2.75 out of 5.00); For students initially admitted into the following colleges: Science and Veterinary Medicine

Dismissal from the preparatory year program and major transfer within the program

A student will be dismissed from the preparatory year program under the following conditions:

  • A - If the student’s cumulative GPA drops below (2 out of 5.00) after the end of the second academic quarter for students admitted into the colleges: Engineering, Science, Computer Science and Information Technology, Business Administration, Veterinary Medicine.
  • B - If the student’s cumulative GPA drops below (2.25 out of 5.00) after the end of the second academic quarter for students admitted into the colleges: Medicine, Dentistry, Applied Medical Sciences, Clinical Pharmacy.
  • C- If the student’s cumulative GPA drops below (2.5 out of 5.00) after the end of the third academic quarter for students admitted into the colleges: Engineering, Science, Computer Science and Information Technology, Business Administration, Veterinary Medicine.
  • D- If the student’s cumulative GPA drops below (3 out of 5.00) after the end of the third academic quarter for students admitted to colleges: Medicine, Dentistry, Applied Medical Sciences, and Clinical Pharmacy.
  • E- If a student does not complete all the courses of the preparatory year program during the academic period mentioned in Article One of these regulations.

Students who have been dismissed from the preparatory year program may transfer to another college within the program under the following conditions:

  • A- The student who is initially admitted into one of the following colleges: Computer Science and Information Technology, Engineering and Business Administration is given the opportunity to transfer to the College of Science, provided that he has a cumulative GPA of (2.25) and higher.
  • B- The student who is initially admitted into one of the following colleges: Medicine, Clinical Pharmacy, Dentistry, Applied Medical Sciences is given the opportunity to transfer to the College of Veterinary Medicine, provided that he has a cumulative GPA of (2.25) and higher.

A student who is initially admitted into one of the following colleges: Medicine, Clinical Pharmacy, and Dentistry is allowed to transfer to one of the following colleges: Computer Science and Information Technology, Engineering, Business Administration, Science , if he is unable to complete all remaining courses according to the study plan during the specified period in Article One. Provided that he obtains a cumulative GPA of (3) or more.

The student transferred after dismissal from the program must achieve the required average for the college to which he is transferred within one academic quarter, otherwise he will be considered dismissed from the program.

Exemption from some courses of the preparatory year program

  • The student may be exempted from studying the English language course (1) if the student passes the placement test and achieves the required grade determined by the General Administration.
  • A student enrolled in the preparatory year program may be exempted from some English language courses according to what the General Administration deems appropriate, if he achieved a score of (61) in the Internet Based Test TOEFL or (5.5) in the IELTS test, or its equivalent, provided that no more than one year passed since he obtained the score at the time of the university admission. The requirement of passing the necessary GPA remains in effect and the exemption request must be submitted before the end of the first week of the first academic quarter.
  • Students may also be exempted from one or more courses if he pass the electronic and written tests approved by the General Administration of the Preparatory Year, provided that the certificate of passing the test is submitted before the end of the first week of the first quarter, and the total academic units exempted do not exceed 50% of the total academic units in the approved study plan for the college to which he is initially admitted.
  • The student will be given an NP (no grade pass) grade in the courses from which he is exempted.

Registration of courses for the preparatory year program

  • The Deanship of Admissions and Registration, in coordination with the General Administration of the Preparatory Year, registers students’ courses for the first academic quarter as well as the fifth academic quarter in the university’s approved registration system (Banner). As for the rest of the quarters, the student is responsible for registering his courses in the university’s approved registration system (banner).
  • The Preparatory Year offers the courses for the academic quarter and determines the section number and Course Reference Numbers (CRN) for each enrolled student; Before the classes starts for academic quarter. Student must follow his account to ensure this.
  • The student registers courses on the registration system approved by the university (Banner) during the periods specified by the General Administration of the Preparatory Year and according to the previously specified reference numbers. The student bears responsibility for not registering courses or registering wrong section numbers.

Student disciplinary regulations at King Faisal University

All students studying at the university, including students in the preparatory year program, are subject to the disciplinary system in accordance with the articles of the Student Disciplinary Regulations at King Faisal University.

Final testing procedures

If a student is unable to attend the final exam for any course due to a valid excuse, they must submit their excuse electronically through the attendance and absence system of the Preparatory Year portal within one week from the exam date. If the excuse is approved, an alternative exam will be allowed within a period not exceeding the end of the first week of the following quarter, and the grade obtained from the alternative exam will be recorded.

Grievance about grades

The student who wishes to re-correct the final exam answer sheet must submit an electronic grievance request through the system of the Preparatory Year portal within a maximum period of one week from the date of announcing the results.

Denial of taking the final exam

  • Students accepted into the program must attend lectures and practical lessons. They will be prohibited from taking the final exam if their attendance percentage is below the threshold set by the General Administration , which shall not be less than 90% of the specified lectures and practical lessons for each course during the academic quarter. Students denied participation in the exam due to absence will receive a failing grade of zero for both the semester work and the final exam.
  • The General Administration or its authorized representative - with exception - may lift the ban and allow the student to take the exam, provided that the student presents an excuse acceptable to the General Administration. The General Administration determines the attendance rate not to be less than (70%) of the lectures and practical lessons specified for the course.

Unless specifically stated in these regulations

The regulations in force at King Faisal University, the system of the Council of Higher Education and Universities, its executive regulations, and the rules, regulations and decisions in force in the Kingdom shall be applied in this regard.

These rules shall be effective as of the date of their approval by the University Council
