*About the University Council Secretariat:
The University Council is held once a month, in order to honor His Excellency the Minister of Education, and the attendance of the Secretary-General of the University Council meeting. His Excellency the University President assumes the position of Vice President, and any member of the University Council assumes the position of Secretary of the University Council, and is nominated by the University Council and is composed of members. From university deans, college deans, and supporting deanships.
*General goal:
It is an executive administration that supervises the administrative and organizational activities of the University Council and the related facilities, support and support work in light of the relevant regulations and instructions issued by the university’s senior management.
*Tasks:
1. Administrative supervision of the work of the University Council Secretariat and its employees, distributing work among them, and proposing means and methods that contribute to the effectiveness of work in the University Council Secretariat.
2. Determine the dates of the University Council’s sessions for each academic year in coordination with the Secretary General of the Council of University Affairs.
3. Initiating the preparatory and procedural work for the University Council meeting.
4. Inviting members of the University Council and informing the relevant authorities of the meeting date.
5. Receive the topics required to be presented to the University Council, ensure that they have completed the regulatory procedures, and prepare their memos, after coordination with the relevant authorities.
6. Preparing and copying the memos required to be presented to the University Council after ensuring that they have completed the regular form and presenting them to the authorized person.
7. Preparing minutes of sessions and preparing executive letters for decisions issued by the University Council.
8. Follow up on copies of minutes of sessions and executive letters of decisions issued by the University Council.
9. Prepare a statement of the number of sessions attended by members of the University Council in preparation for completing the necessary regulatory procedures to disburse the remuneration due to each member.
10. Providing the office of the university president, its deputies, deans, and the legal department with the minutes of the university councils if requested.
11. Preparing and copying the decisions of His Excellency the President of the University that issue authorization for some transactions from the University Council.
12. Archive the authorizations of His Excellency the President of the University regarding the entire transaction and save them for reference when needed.
13. Keeping minutes of meetings and memos of the University Council.
14. Approval of granting emergency and regular leaves to employees of the General Secretariat Office and informing the Personnel Affairs Department to issue the necessary decisions.
15. Reporting the work of employees of the General Secretariat Office and providing the Follow-up Department with a copy of that, as well as notifying the Follow-up Department of cases of delay, absence, and leaving work to take the necessary legal action.
16. Approval of job performance calendars for Secretariat employees.
17. Prepare an annual report on the achievements of the General Secretariat Office and submit it to the University President.
18. Direct contact with the authorities related to his specialty, taking into account the functional level.
